Looking after people affected by cancer is vital. But we need to look after our supporters in the best way too. Our privacy policy ensures that we are update to data with data protection laws and that everything we do with our supporters’ information is clear and transparent.

  1. Who we are

Wessex Cancer Trust is a local cancer support charity (registered charity number 1110216) and was established in 1981.

Wessex Cancer Trust comprises both the charity and our trading company, WCT (Wessex) Ltd (company number 5416311), a wholly owned subsidiary which runs our charity shops.

Our privacy notice explains how Wessex Cancer Trust and our trading company WCT (Wessex) Ltd use personal information. All reference to ‘we’ ‘us’ or ‘our’ in the notice refer to both the charity and the trading company.

  1. How we use your information

We will not rent, swap or sell your personal information to other organisations for them to use in their own marketing activities. The legal basis that we rely on for processing your data will depend on the circumstances in which it is being collected and used, but in most cases will fall into one of the following categories:

  • Where you have provided your consent to allow us to use your data in a certain way
  • Where the processing is necessary to carry out the performance of a contract with you
  • Where the processing is necessary in order for us to comply with a legal obligation
  • Where it is in our legitimate interest to perform our functions, for example processing donations or sending you administrative communications where our legitimate interest is to raise funds and deliver our charitable purpose.


  1. Service Providers

We use service providers (such as fundraising agencies, mailing companies and software platform providers) to help us provide you with our services. We may give relevant persons within these service providers access to your personal information, but only to allow them to perform their service for us. They will not be able to use your information for any other purpose except those to which you have agreed.

  1. Legal Requirements

We may disclose your personal/sensitive personal information by law, for example to HMRC for tax purposes or to police forces for the prevention of detection of crime. Further, we safeguard the sharing of information by using formalised information sharing agreements with organisations where appropriate, or on an ad hoc basis ensuring the request and disclosure are legally compliant. We will only share your data if the law requires us to do so.

  1. Data Research and Accuracy

On occasion we may also use your personal information for research purposes so that we can improve and better meet the needs of our beneficiaries. We also feature case studies on our website and materials about the amazing our supporters undertake for us. We will always get consent before using your data in this way.

We continually strive to improve the quality and accuracy of the information you have provided, such as your contact details by checking them against external data lists such as the Post Offices Change of Address database and The National Deceased Register. This helps is to ensure our records are fully up-to-date and avoids misdirecting communications. We will only compare your data against information that is publicly available.

  1. Data profiling and analysis

We may also carry out analysis of the personal information we collect and add publicly available information to create a profile of your interest, preference and ability to support us, including the amount or level of donation or legacy you may be able to give. This is so we can contact you in the most appropriate way and with the most relevant information, which enables us to raise funds sooner and most cost-effectively.

This information is compiled from sources such as public register, the electoral roll, newspaper articles and social media posts. Please let us know if you would prefer us not to process your data in this way by telling us when things change.  We will use data that is publicly available.

  1. Marketing Communications

Were you to give us your consent, we will also use your personal data in order to send you information, promotional and fundraising communications in connection with the following services:

  • Support magazine and updates – including newsletter, magazine and publications informing you about our work
  • Appeal and fundraising activities – including information about events, requests for support, information about how you can leave us a gift in your will, how you can raise money on our behalf or take part in a fundraising event, information about our lotteries and raffles, and updates on the impact your fundraising activities have had on our work
  • Volunteering – information about how you can help support our work by giving your time or using your influence to progress our aims, along with updates on the impact of our work
  • Shopping – including information about products offered by our online shop and charity stores and events that involves shopping to raise funds

You decide how you want us to contact you, whether by mail, email or by phone or text message (SMS/MMS) and you can update your communication preference at any time by telling us when things change. From time to time we will also send you a communication to update your communication preferences.

  1. Telling us when things change

You can help us keep our records up to data by telling us when your contact details and other personal information changes. You can also change your mind at any time about how we contact you or ask to stop contacting your altogether. Please contact our team and they’ll make the changes for you:

If you tell us you no longer want to receive further communication from us and you are on our supporter database it may take a short while before communications stop as some of our information selection is done a few weeks in advance of mailing. If you request to receive no further contact from us, we will keep the information of you and add you to our suppression lists to ensure that you do not received unwanted materials in the future.
